Migrate from Asana to OpenProject

Export the tasks as CSV and map them onto work packages. Rules, goals, and the timeline drawing do not survive.

Time: A day for one project. A workspace of fifty projects is a column-mapping job.

Export

  1. Step 1

    Export each live project

In Asana, export the project tasks to CSV. Do the projects people still update. Archived projects can wait.

  2. Step 2

Keep a copy of the custom fields

The CSV has a column per field. Write down which columns are required, because OpenProject custom fields are a separate setup step and the names will not match by themselves.

  3. Step 3

    Note the automations

Rules do not appear in the CSV. List the ones that assign work or move a task, and decide which are worth rebuilding.

Import

  1. Step 1

    Create the OpenProject project

Install Community edition and make the project, the statuses, and the types before you import rows. A work package needs a type.

  2. Step 2

    Map columns by hand

Bring the CSV in as work packages, matching name, description, assignee, and dates. Do one project, check it, then do the rest.

  3. Step 3

    Re-invite the assignees

Asana emails do not create OpenProject users. Create the accounts first or the assignee column will not stick.

What breaks

  • Timeline, goals, and workload

OpenProject has a Gantt view, but it is a new chart built from the dates you imported. Asana goals, portfolios, and workload do not transfer.

  • Forms and proofing

Request forms and approval stamps are not in the CSV. If a form is how work enters the team, you need a new front door.

  • Comments and attachments

A task CSV is weak on comment history and files. Download attachments you still need and add them to the work package.

Pick one noisy project as the rehearsal. If the assignee column is empty after import, fix the user accounts before you export the other forty.
